What Odoo Sign does

Odoo Sign is the Enterprise app that sends and collects electronic signatures on contracts, agreements, NDAs, employment offers, sales quotes, purchase orders, and any document that needs a legally binding signature. The signer never has to print, scan, or mail anything; they sign in their browser, and the signed document comes back with a full audit trail.

Legal teams handling contracts, sales teams closing deals, HR teams onboarding employees, real estate agents executing leases, agencies signing client agreements, and any business that signs documents on the regular uses it. How it works

The day-to-day flow

Setup starts with uploading a document (a PDF contract template, an NDA, an offer letter). Odoo's editor opens the PDF and lets you place inputs on it from a fixed list: Signature, Initial, Text (single line), Multiline Text, Checkbox, Radio, Selection, Strikethrough, Stamp, plus auto-fill inputs for Name, Email, Phone, Company, and Date. Specialized inputs like a dollar amount or a contract number are just labeled Text fields, not their own input type. Multiple signers per document each get their own assigned inputs.

From there, send the document to the recipients. Each signer receives an email with a unique link to the document. They click the link, see the document with their inputs highlighted, fill in any text inputs, draw or type their signature, and submit. The document is now signed.

As each signer completes their part, the document moves through the workflow (signer 1 signs, then signer 2 gets notified, then signer 3, etc.). When all signers are done, Odoo generates the final signed PDF with every signature embedded, every input filled, and an audit certificate showing who signed when, from which IP address, with which email confirmation. The signed PDF attaches to the relevant Odoo entry (a contract on the customer, an offer letter on the employee, a quote acceptance on the sales order).

What's inside Odoo Sign

Drag-and-Drop Input Placement
Upload a PDF and the editor lets you drag inputs onto specific places on the document from a fixed palette: Signature, Initial, Text, Multiline Text, Checkbox, Radio, Selection, Strikethrough, Stamp, plus auto-fill inputs for Name, Email, Phone, Company, and Date. A dollar amount, a contract number, an address line, or anything else free-form lives as a labeled Text field with the label of your choice. Multiple signers each get their own colour-coded set of inputs.
Sequential and Parallel Signing Workflows
Configure sequential signing (signer 1 first, then signer 2, then signer 3) or parallel signing (all signers receive the document at the same time). Sequential is useful for approval chains where the next person should not see the document until the previous one signs; parallel is useful when speed matters and order does not.
Templates for Reused Documents
Save a signed document as a template with all the input placements preserved. New sends from the template just need the recipient information; the signature inputs are pre-placed where they always go. Useful for standard contracts, NDAs, offer letters, and any document type you send repeatedly.
Signature Methods (Draw, Type, Upload)
Signers can draw their signature with a mouse or finger on a touchscreen, type their name in a stylized font, or upload an image of their handwritten signature. The chosen signature applies to every signature input on the document so the signer signs each one in a single click.
Mobile-Friendly Signing Experience
The signer's view works in any phone browser with a touch-optimized interface for drawing signatures, scrolling between inputs, and submitting. A signer on a phone goes through the same flow as a signer on a desktop, with the same legal weight.
Audit Certificate on Every Signed Document
Every fully-signed document carries an audit certificate as the final page (or as a separate attached PDF): the signers' names and emails, the signatures themselves, the dates and times each signature was applied, the IP addresses each signer signed from, the email confirmation of each signer's identity. The certificate is what makes the signature legally defensible.
Reminders on Pending Signatures
Each sent document carries a single reminder interval that repeats until the signer completes or the request is closed (default 7 days, but you can set any interval per document or per template). Useful when a deal is stuck waiting on a customer signature; the reminder runs without anyone manually chasing.
Attach Signed Documents to Odoo Records
When a document is fully signed, Odoo automatically attaches the final PDF to the related Odoo entry (a customer profile for a signed contract, an employee profile for an offer letter, a sales order for a signed quote acceptance, a purchase order for a vendor agreement). The entry's chatter logs the signing event for the audit trail.
Bulk Send for Same Document to Many Recipients
Send the same document (an NDA, an updated terms of service, a year-end attestation) to a list of recipients at once. Each recipient gets their own signing link and signs their own copy; the document is generated per recipient with their name and details pre-filled. Useful for organization-wide policy updates or batch agreements.
Legal Compliance With ESIGN, eIDAS, and More

Common questions about Odoo Sign

Is Odoo Sign free?
No. Odoo Sign is part of the paid Odoo Enterprise tier, which is around CA$35.20 per user per month billed annually for the full Odoo suite. There is no Community edition. You can test it free on the Odoo 15-day trial to scope a rollout before committing to the licence. The Enterprise licence includes unlimited signature sends; there is no per-signature fee on top.
What's the difference between Odoo Sign in Community and Enterprise?
There is no Community version of Odoo Sign. The whole electronic signature feature set (drag-and-drop input placement, sequential and parallel workflows, templates, multiple signature methods, mobile signing, audit certificates, reminders, attachments to Odoo records, bulk send, legal compliance) ships only in the Enterprise tier.
Can we migrate our existing signature templates from DocuSign, HelloSign, Adobe Sign, or another tool?
Yes for templates and the recipient database; partial for in-flight signatures. Odoo Sign accepts PDF uploads for the templates, and the signature input placement typically rebuilds in Odoo's editor rather than imported directly (since every tool's template format is different). Recipient lists migrate via CSV. Active documents in the middle of being signed at cutover usually complete on the original tool, with new sends moving to Odoo. Calibre handles the template rebuild, the recipient migration, and the cutover transition during the rollout.
Is Odoo Sign legally binding? Does it hold up in court?
Yes for most use cases in most jurisdictions. Odoo Sign produces signatures that comply with the major electronic signature frameworks: ESIGN and UETA in the US, eIDAS in the EU, PIPEDA in Canada. The audit certificate captures the signer's identity (email verification), their IP address, the timestamp, and the document's content hash. For the strictest scenarios (qualified electronic signatures under eIDAS, certain US federal documents), additional identity verification steps can be added. Does Odoo Sign work with DocuSign, Adobe Sign, or other external signature tools?
Odoo Sign is built to replace DocuSign and Adobe Sign rather than work alongside them. For specific scenarios where you need to use both (a large contract using Adobe Sign for the customer's internal compliance, alongside Odoo Sign for the rest of your operations), Odoo can accept the final signed PDF from the external tool as an upload to the relevant entry, but the in-flight signing happens on whichever tool you started the workflow on.
Is there a mobile app for Odoo Sign?
Yes for the signer (any phone browser works; no app install required) and yes for the sender (the polished Odoo mobile app on iOS and Android lets a sales rep send a quote for signature from their phone after a customer meeting). The signer's experience is the same on mobile and desktop: open the link, sign, submit. For senders building complex multi-signer templates with detailed input placement, desktop is faster.
Can a signer reject a document or request changes before signing?
Yes. The signer's view has a Decline button alongside the Sign button. Declining notifies the sender with an optional reason from the signer. The sender can update the document and resend, or close the workflow if no agreement is reached. Comments from the signer attach to the chatter on the related Odoo entry. Useful for contracts where back-and-forth review is normal before the final signature.
