What it does

What Odoo To-Do does

Odoo To-Do is the app that runs personal task lists and quick memos inside Odoo. Unlike Odoo Project (which is for structured team work with stages and customers and billing), To-Do is for the loose, personal items every knowledge worker has: things to remember, follow-ups, draft notes, quick reminders, the kind of work that does not need a full project but should not get lost.

Every user with a Odoo login can use To-Do for their own work, regardless of which other apps the company runs. You can test Odoo To-Do free on the Odoo trial; pricing kicks in only if you install more than one Odoo app.

For Odoo's own product overview, see Odoo's official documentation.

How it works

The day-to-day flow

Each user has their own To-Do list, accessible from any screen in Odoo. Hit the To-Do shortcut and a panel slides in showing the user's open tasks, with quick-add for new ones. Each task can be a simple line item (call back John) or a longer note with rich formatting (the meeting prep with bullet points, attachments, and a checklist).

From there, organize tasks with tags (Sales, Follow-Up, Personal, Reading List), priority flags (High, Normal, Low), due dates, and assignees if you want to share a task with a colleague. Sub-tasks let a longer effort break into the actual steps. Completed tasks move to the Done bucket but stay searchable.

Integration with the rest of Odoo is light by design: a To-Do task can be linked to any Odoo entry (a customer, a deal, a project), so a quick reminder about a customer call carries the context. Activities scheduled in other Odoo apps (a CRM follow-up, a project task due date) can surface in the user's To-Do list alongside their personal items, giving one unified view of what needs attention today.

What's inside Odoo To-Do

Quick-Add Task From Any Screen
Hit the To-Do keyboard shortcut from any Odoo screen and a quick-add input appears. Type the task title, hit Enter, done. No app switching, no full task form, no friction. The new task lands in the user's inbox with a default priority and no due date.
Rich Note Editor on Each Task
Open any task to expand it into a full rich-text note with headings, lists, links, images, attachments, code blocks, and embedded references. Useful for tasks that grow from a one-liner into a meeting prep document, a research summary, or a draft response.
Tags for Personal Categorization
Tag tasks with one or more labels (Sales, Follow-Up, Personal, Reading List, Travel, This Week). Filter the list by tag to focus. Tags are per user, so each person organizes their work the way they think about it without imposing structure on others.
Priority Flags and Due Dates
Set a priority (High, Normal, Low) and an optional due date per task. The list view sorts by priority and due date so the next thing to work on is at the top. Overdue tasks surface in red; today's tasks surface at the top.
Sub-Tasks and Checklists
Break a larger task into sub-tasks (each with its own due date and assignee if shared) or use inline checklists within the task note. Useful for multi-step work that does not warrant a full Odoo Project but has more than one step (a customer onboarding sequence, a quarterly report, a vendor evaluation).
Share Tasks With Colleagues
A To-Do task can be shared with a colleague: they appear on both users' lists, edits sync both ways, and either user can mark the task done. Useful for shared follow-ups (a sales rep and a customer success manager tracking the same customer onboarding) without spinning up a full project.
Link Tasks to Odoo Records
Link a task to any Odoo entry (a customer profile, a sales deal, a project, an invoice, a support ticket) and the link shows on the task. Useful for personal reminders that carry context: a note to call back John about the renewal links to John's customer profile, so opening the task gives one click to John's full history.
Activities From Other Apps Surface in To-Do
Activities scheduled in other Odoo apps (a CRM rep's next follow-up, a sales manager's deal review, a project task due date, a Helpdesk reminder) appear in the user's To-Do list alongside their personal items. One screen shows everything that needs attention today across every app.
Done Bucket With Search
Completed tasks move to the Done bucket but stay searchable and reviewable. Useful for end-of-week or end-of-month review ("what did I actually finish this week?") and for following the breadcrumbs back when a previous task becomes relevant again.
Drag-and-Drop Reordering
Drag tasks between priority groups or between the active and done buckets. Reorder within a priority group by dragging. The visual organization is just as flexible as a sticky-note board, with the persistence of a real list.
Built for

Is Odoo To-Do right for your team?

Outgrowing the entry-level tools

SMBs whose data lives in QuickBooks, HubSpot Free, or Excel spreadsheets that were set up when the business was smaller. The team now spends hours building reports by hand and reconciling between tools every month-end.

Operations across multiple tools

Retail, manufacturing, mechanical, or professional services businesses with 10 to 200 employees running on a patchwork of point tools. The team wants one database for the whole company instead of Zapier holding it together.

Apps people often run with Odoo To-Do

Most users running Odoo To-Do pair it with whichever other Odoo apps they use day to day. Odoo CRM is the most common pairing: tasks link to leads and deals for personal follow-ups. Odoo Project is the upgrade for structured team work; To-Do handles the personal items that do not fit a full project. Odoo Discuss feeds activity reminders into the To-Do list so the user has one unified inbox. Odoo Calendar shows tasks with due dates on the user's calendar.

Comparison

Odoo To-Do vs the alternatives

List-price comparison against the project management tools Calibre most commonly migrates customers off. The deciding factor is usually integration, not the line-item price. Odoo To-Do sits on the same database as every other Odoo app you install, so the data flows between modules without separate bridges.

Questions

Common questions about Odoo To-Do

Is Odoo To-Do free?
Yes. Odoo To-Do is part of the free Odoo Community edition. The One App Free rule means if To-Do is the only Odoo app you install, you pay nothing for the software. The moment you add a second app, the whole setup moves to the paid plan, which is around CA$35.20 per user per month billed annually for the full Odoo suite. To-Do is one of the simpler Odoo apps and is rarely the only app installed; it tends to come alongside other apps in a real setup.
What's the difference between Odoo To-Do in Community and Enterprise?
The To-Do app is identical in both editions. Quick-add, rich editor, tags, priority, due dates, sub-tasks, sharing, linking, activity integration, done bucket, drag-and-drop reordering all work in the free Community edition. Enterprise adds the polished iOS and Android mobile app with push notifications for due-soon tasks. Most users get the value of To-Do entirely on Community.
Can we migrate our existing tasks from Todoist, TickTick, Microsoft To-Do, Apple Reminders, or another tool?
Yes. Odoo To-Do accepts CSV imports for the task list with title, description, due date, priority, tag, and completion status. Most personal task managers export to that format. The import is typically per-user (each user imports their own list); admins can do a bulk import for the whole team if a centralized cutover makes sense. Calibre handles the data audit and the cutover transition during the rollout if it matters.
How is Odoo To-Do different from Odoo Project?
Odoo Project is for structured team work with stages, customers, billing, milestones, and reporting; it's a full project management tool for client engagements, internal initiatives, and recurring work. Odoo To-Do is for personal items that do not need that structure: quick reminders, follow-ups, draft notes, things to remember. Most users use both: Project for their formal team work, To-Do for the loose personal items. They surface together on the user's activity inbox so the user sees everything that needs attention in one view.
Is there a mobile app for Odoo To-Do?
Yes, on iOS and Android. The polished Odoo mobile app (Enterprise tier) shows the user's To-Do list with quick-add, due-date reminders, and tag filters. Push notifications for due-soon tasks fire if the user has them enabled. Community users get the responsive web version on a phone browser. For most users, the native mobile-OS task app (with sync configured to a To-Do compatible tool) plus Odoo's web view at the desktop covers the use case.
Can we share a To-Do task with a team member or assign it to someone?
Yes. Each task can be shared with one or more colleagues; the task appears on both users' lists, and either user can edit or mark it done. For tasks that need a single assignee rather than shared ownership, assign the task to a specific user; the task appears in that user's To-Do list as theirs. Useful for delegation that is lighter weight than creating a full project task with stages and billing.
Can a task be linked to a customer, deal, or other Odoo entry?
Yes. Any task can carry a link to one or more Odoo records: a customer profile, a sales deal, a project, an invoice, a support ticket, an employee, a piece of equipment. The link shows on the task and offers one-click navigation to the entry. Useful for personal reminders that carry context: a note to follow up with John about the renewal links to John's customer profile, so the next click pulls up his full history.

Working with Calibre

How long does a Calibre implementation typically take?
Single-module rollouts on an existing Odoo setup run 2-6 weeks depending on data migration scope. Greenfield Odoo with a multi-module rollout runs 4-16 weeks. Calibre commits to a written, phase-by-phase timeline after the free scoping call before any code is written.
How much does a Calibre implementation cost?
Cost depends on module scope, user count, custom work, and migration complexity. Calibre's posture is a written fixed-phase quote after the scoping call rather than an hourly engagement, so the cost is committed in writing before the first commit.
What happens to our data if we ever want to leave Odoo?
Everything exports. CSV, XML, or a full PostgreSQL database dump, yours on day one. Migrating off Odoo has been done before and it's not a one-way door.
